How to be productive instead of busy!
Welcome to Inspired to Greatness... the show all about spreading inspiration, motivation, and being great., I am your host, Matt Blake I hope you are having an amazing day, my friends! Today we are talking about ‘Being Productive instead of Busy’!! QUOTE: "Focus on being productive instead of busy." - Tim Ferris Tim Ferris is the author of The 4-Hour work week… a book that changed my entire outlook on running a business and being efficient. If you haven’t read it, I suggest you check it out. I have made thousands of dollars in extra money by employing a few of the techniques I learned in that book. Now… about being productive, instead of busy. We all know someone that is always busy… always has a hundred things to do, but never seems to get anything substantial done… sometimes, maybe, we ARE that person. It’s not our fault… we are trained to be busy, or said better, to look busy. When we are in school and we finish our work we are told to find something else to do… when we get to work if we finish our work we are given other assignments… We are trained to keep busy all the time, no matter what it is we are getting done… if we work productively or efficiently then we are ‘rewarded’ with more work! But, the real money is made in being productive… not busy. Busy work includes things like tiding up your desk, filing paperwork, TPS reports, making lists, etc… I once had a job at a company that was pretty poorly organized. I have always been a quick worker, especially when I was a production designer… So I was able to handle my normal workload in about half the time of other employees in my department… so it often looked like I wasn’t getting anything done because I was often ‘done’ working. So my supervisor asked me to keep track of everything I did for a week… so I did. I made a list of every little thing I did, I started finding little things to do so that I could add them to my list. I even included “listing my daily tasks” on my list of daily tasks… honestly, there were things on that list that only took 15 seconds to do… and that dumb list was something that took longer than most of the things I did to stay “busy”… at the end of the week, I was an expert at being “busy”. But appearing twice as busy for an entire week I actually got less done than a normal week. My supervisor was happy because they had a long list of tasks that I had completed, but in reality, I got about 10% less of the work done on actual projects that week. For the sake of being busy, I was no longer productive. Being productive means focusing on one task at a time, working without distractions, and working on things that create income. Here are some examples of things that make you productive: Checking email at only set times, avoiding meetings, Delegating tasks, and setting a daily schedule. Pick important tasks and focus on those… let the small, meaningless busywork go. If it’s not mission critical then you don’t need to work on it to be productive. Work with the big picture in mind, what tasks will have the most impact on your long-term goals, when choosing what to work on have a macro approach. But, plan based on the micro… plan your day down to the minute. Break your daily calendar, your schedule, down to 5-minute increments, instead of 30 or 60. Know exactly how long you are going to spend responding to email in the morning, then move on, the email will still be there for you to respond to later when it’s time to be back in your inbox. If you can avoid interruptions from email and phone calls during the day, and play to return those messages at set times, then you will be way ahead of the normal productivity curve. Working on things that you are passionate about will also help you remain productive… so as soon as you can move your career into a field or position that you love the better off you will be. And you can also become productive by building systems that shorten the time it takes to do your work. Taking 3 hours to build a spreadsheet might not sound productive… but if it allows you to be more productive in the long run, then it’s time well spent. Once you become more productive you will have more time to complete everything, because you are using your time more efficiently. And one thing this allows is a better work/life balance. Keeping a good balance will help you be productive by lowering stress and helping you focus… which will help you be more productive… which will give you more time for work/life balance… which will help you focus… get it? Don’t work to be busy… work to be efficient and productive. Don’t fill your days with meaningless busy work… delegate or skip things that don’t impact your bottom line, schedule your email and phone calls, and watch your productivity skyrocket. I don’t mean to be the bearer of bad news, but it’s not gonna happen that way! Success doesn’t come overnight, it usually doesn’t come quickly at all. Success is the result of working hard after planning properly. That’s all… it really is a simple formula, the problem is that the key ingredient is hard work. SO many people think that they can game the system, or find some shortcut, or some easy way to this success they are after… and the problem is, that for the vast majority, there is no way to make that happen. And besides, if you did reach the pinnacle of success with some magic shortcut, you wouldn’t have developed the self-control and discipline to deal with it! We live in an amazon prime, text message, same day delivery, I need it now society… but if you can differentiate yourself from that, by being willing to put the work in, knowing that you can build your success much easier than having it handed to you… then you will be all the better and more successful for it! Don’t be scared of working hard for the things you want… and don’t devalue yourself or your dreams so they aren’t worth working hard for! The point I made on that show (Yesterday) was that life is a changing journey and it will change you. Maybe you weren't ready to start your own business or change careers when you were in your twenties or even your thirties... but the experience and strength you have gained in your journey have made you a person that CAN follow your passions. If your life isn't going in a direction that you want, then take a look around... what changes can you make that will get you headed in the direction you want. Sometimes it's a few small changes, sometimes it's walking away from everything and starting over... only you can know what needs to change. But you can do it! Don't let people tell you that your dreams or the direction you have chosen for your life is wrong... those people aren't the sort who will help you reach the top anyway. Never be afraid to start over, change directions, or build something new... plenty of people have followed their passions, often while being told they were foolish or with no support. If you truly want something out of life, then all you need is the dream, your goals, a plan, and the commitment to make it happen. You are going to spend a large part of your life working... there is NO reason to spend that time doing something you hate... there is no reason to even spend it doing something you don't Like, for the most part. You can do anything and be anything you want.... at any point, at any age, and in any situation, it's not too late. Go out and build a life, in any direction you want, that you will love. And fill that life with people who will support you. And if you spend too much of your life trying to “find” yourself… you are going to miss the amazing experiences that are shaping you into the person you are. You are not an amazing business owner, salesperson, or entrepreneur because you arrived at a job. You are amazing at what you do because of all the work and experiences that have taken you there… because of the lessons learned from failure and defeat. Every battle scar or every time you missed the mark is another set of lessons that made you smarter and better at what you do AND… more importantly, who you are. There is an old saying “Fool me once, shame on you… fool me twice, shame on me”. It’s so well known because it’s so true. We learn and grow from every trial and storm we face. We come out wiser on the other side and all that wisdom shapes us into who we are. The point is to live your life from a position that you are always becoming more… never stop learning or growing.. never be afraid to experience something new. When it’s true in life, it’s generally also true in business… And your business struggles and victories each change the landscape of your business. If you think your business is done changing, and you stop adapting then you are done. Growing a business is about constant innovation and change… updating, revamping, and adapting to meet the needs of your clients and staying on the cutting edge of your industry. In business you are always building if you want to be successful If you want to enjoy your life you have to stop sprinting to the finish line and realize that you aren’t going to discover who you are at the end… you are creating yourself all along the way! Have a mission statement... for your life, for your business, for every project. It can be what you hope to do, what you hope to accomplish, who you want to be.... but have one, and review it. Let that guide all your actions and keep you focused on the end goal or outcome. It's all a part of reaching your goals and being great! I'm not saying you should There are many different types of focus. Just like you can focus your business priorities or you can focus a camera... Focus can mean where you give your attention, and when you choose to focus on the positive in your life, focus on the benefits, focus on being grateful, focus on being kind, then you can really make a difference! Pay attention to what and WHO you are focusing on in your business and in your life. No matter what you do to help you maintain focus: Meditating, doodling, jogging, coffee, music, napping... know that a huge part of success is being focused... focus on staying focused! Be present and focus on the task at hand. When you are working, work hard without distraction. When you are having dinner with your family, eat dinner, put the phone away, talk to your kids. When you are resting, rest, put away your email and work. Being present for your tasks will make you much more efficient and successful. Being present for your friends, family, and for yourself, will make you a better person.
